Introduction to the dmSwitchboard12's Reception Extension
The dmSwitchboard12 has all the functionality of an enterprise-grade switchboard and allows you to give out a single Reception number to prospective callers.
The Reception Extension is the Main Menu for your dmSwitchboard12. It is not assigned to an individual or team but acts as a hub for all incoming calls.
Each dmSwitchboard12 allows you to create up to 99 different 'Receptions'. Although you may not want that many (most organisations make do with just the one) you may find it useful to create additional Receptions so that you can allocate different DDI numbers to suit your business requirements.
For example, you may have one Reception for incoming Freephone calls, another for Account Management and a third for your company's various administration teams.
You must always have at least one Reception number, but you can create or delete temporary Receptions as you require.
What does it do
Your Reception Extension can route:
- From a single number to multiple Teams
- Calls to both Team and Personal Extensions
- To individuals' direct dial numbers
- To as many extensions as you require
What do callers hear?
When you assign a DDI to the Reception Extension, callers to that DDI hear an automated message thanking them for calling your company and listing the available options, such as ‘Press 1 for Sales, press 2 for Accounts…’ and so forth.
You decide what this message is when you create your dmSwitchboard12 Plan
Callers also have the option of dialing an extension (if they know it) so that they can connect directly to a Personal or to a Team Extension.
Advanced Options
If you want to have control over what happens when your company is closed, what choices are presented in the menu and what happens if the caller doesn't select any option, then you'll need to use the Advanced Options. This gives you full control over the flow of your switchboard, enabling sophisticated multi-layered options.
