Recording SB12 prompts over the phone
Each switchboard can have a single set of prompts that you record over the phone. This is easy to do, but lacks some of the power of using cloud-based prompts.
In particular, if you change to a plan that has a different set of extensions from the one you used to make the recordings with, there might be a mismatch. Eg. extension 203 on plan A might go to the sales team, but 203 on plan B might go to technical support. So be careful, and check afterwards.
Steps
Create and Activate
You must create and activate a new version of your plan. The system will automatically create the x903 extension in plan, which you can see in the special extensions area, of the summary tab, in the plan editor.
Print out the manifest
While in the plan editor, go to the Company tab, and click the "Advanced" link at the bottom of that panel.
There will be a section entitled "Recorded Prompts" that has a button link [view prompts manifest]. Press this button and you'll get the Prompts Manifest - a list of all the prompts that can be replaced by recorded versions. It would be useful to print this page out as a guide to the next steps.
Call the Recording Studio Extension 903
Place a call to extension 903 from a handset logged into that switchboard (either VOIP or via a Dial Up Access number)
The wizard will welcome you and then you can...
Go through the set of customisable prompts for the switchboard.
For each prompt, it will tell you the purpose and play the current sound file (which will be a robot sound). Then you can press....
[2] to Change the sound - you'll hear a beep, after which you speak the new prompt, and then a double beep. You will then hear what you just recorded.
[4] to move to the previous prompt
[5] to hear it again
[6] to move to the next prompt
[7] to revert to the robot sound
Hang up when you've recorded the prompts as you want to change
Or you can press [9] to have the same effect
* It might be that we change this to have [9] to be essential for "saving changes" but this is the way it is right now.
Update the plan to use the prompts
Go into the plan editor, edit the currently active plan. Go to the advanced features of the Company tab, and check the option to use Recorded Prompts.
